Executive Administrative Assistant

Albany Molecular Research Inc. provides global contract research and manufacturing services to the pharmaceutical and biotechnology industries.

Summary  Performs a wide range of clerical, administrative and general office support of a highly responsible and confidential nature requiring broad and comprehensive experience, skill, and knowledge of organization’s policies and practices.   Exercises occasional discretion and independent judgment to relieve the executive of as many administrative details as possible.  Maintains records, obtains and organizes information, takes and transcribes dictation, makes calculations and performs a variety of follow through functions.

Essential Duties and Responsibilities:
  • Reads mail, highlights important items, attaches relevant files or information for executive’s review.  Responds to routine correspondence or drafts response for executive’s review on more complex correspondence.  Takes and transcribes dictation.  Follows up on items delegated by executive to others.
  • Screens calls for area of responsibility and responds to routine and complex inquiries.  May regularly communicate with administrative staff, senior level internal and external contacts, vendors and customers on highly sensitive confidential matters requiring the exercise of a high level of tact and integrity.
  • Schedules appointments and group meetings which include coordinating facilities, services and attendance of participants.  Makes travel arrangements.    Assists in expense report preparation and reconciliation as required.
  • May conduct special and on-going projects under limited direction that consists of duties requiring the occasional exercise of discretion and independent judgment.
  • Operates a personal computer and printer.  Utilizes word processing software to produce correspondence and reports, performs sorts and merges, and prints mass mailings.  Utilizes spreadsheet software to design spreadsheets, set up formulas, display graphics, and print desired sections.  Utilizes data base software to set up and maintain files and run reports.
  • Maintains appropriate files of correspondence, documents, reports and records.
  • Provides reproduction support through the operation of photocopier or coordination of services with internal or external sources.
  • Operates office equipment such as calculator, transcription equipment and facsimile.
  • Coordinates the ordering of supplies, materials, publications, services, etc., by preparing appropriate documentation, obtaining approval and submitting.  Sends invoices to accounting with proper authorization for payment.
  • May provide functional guidance to clerical employees including assigning work, checking work and ensuring timely completion.
  • Performs related duties as required.


Job Requirements

Education and/or Experience: 
 
High School Diploma or general education degree (GED); or five years clerical and administrative support experience and demonstrated skills in shorthand, typing, personal computer word processing, spreadsheet and database software; or equivalent combination of education and experience.

  • Excellent Communication skills, both verbal and written
  • Ability to organize time in order to successfully manage multiple projects and priorities
  • Ability to read, understand, interpret and implement technical writing and instructions.
  • Effective inter-personal relation skills, while maintaining the adaptability to achieve company goals
  • Verbally expresses ideas and facts in a clear, logical, concise and in accepted grammatical style.
